Data Privacy Notice
I. Introduction
Equatain is a consultancy organization in the field of supply chain sustainability, based in the Netherlands.
We understand that you are aware of and care about your own personal privacy interests, and we take that seriously. This Privacy Notice describes Equatain’s policies and practices regarding its collection and use of your personal data, and sets forth your privacy rights. We recognize that information privacy is an ongoing responsibility, and so we will from time to time update this Privacy Notice as we undertake new personal data practices or adopt new privacy policies.
II. How we collect and use your personal information
Equatain collects personal information about its customers. With a few exceptions, this information is limited to the kinds of information that can be found on a business card: first name, last name, job title, employer name, work address, work email, and work phone number. We use this information to provide current and prospective clients with goods and services, including communications with you, and scheduling of events with you. We do not sell personal information to anyone and only share it with third parties who are facilitating the delivery of Equatain services, as described in III.
III. When and how we share information with others
The personal information Equatain collects from you is only shared with software providers (e.g. email hosting, invoice, calendar, and other similar service providers). Equatain selects software providers who are GDPR-compliant. These software providers do not use or have access to your personal information for any purpose other than providing the specified service to Equatain and its customers (e.g. providing invoices, delivering email, etc).
We may also share your personal data with other service providers (e.g. external consultants and specialists) as part of providing services to you, but only with your prior consent.
IV. Transferring personal data
We will only transfer your personal data, outside of the European region (in line with the information sharing policy described in III) with your consent or on the basis that the transfer is compliant with the GDPR.
V. Data subject rights
The European Union’s General Data Protection Regulation and other countries’ privacy laws provide certain rights for data subjects. A good explanation of them (in English) is available on the website of the United Kingdom’s Information Commissioner’s Office.
If you wish to confirm that Equatain is processing your personal data, or to have access to the personal data Equatain may have about you, please contact us.
You have a right to rectify the record of your personal data maintained by Equatain if it is inaccurate. You may request that Equatain erase that data or cease processing it, subject to certain exceptions. In many countries, you have a right to lodge a complaint with the appropriate data protection authority if you have concerns about how we processes your personal data.
You may also request that Equatain cease using your data and when technically feasible, Equatain will—at your request—provide your personal data to you or transmit it directly to another controller.
VI. Security of your information
To help protect the privacy of your data, we maintain physical, technical and administrative safeguards. We update and test our security technology on an ongoing basis. Equatain makes every effort to ensure data security, however no system is completely foolproof.
VII. Data storage and retention
Your personal data is stored by Equatain on its servers, and on the servers of the cloud-based database management services Equatain engages. Equatain retains data for the duration of the customer’s business relationship with Equatain and for a period of time thereafter to analyze the data for Equatain’s own operations, and for historical and archiving purposes associated with Equatain’s history.
